How to fill out a general bill of sale
- Describe what you are selling. Brand, model, size, color and condition - enough that nobody could mistake it for something else. Add a serial or model number if the item has one.
- Add the seller, the buyer and the price. Full names and addresses, the date, the price and how it was paid. Choose "as is" or write the warranty you are giving.
- Print two copies and sign both. Seller and buyer each keep one. Turn on the notary block if the buyer or an agency asks for it.
What can I sell with a general bill of sale?
Any personal property that does not have its own title: furniture, appliances, electronics, musical instruments, tools, equipment, jewelry, or assets of a small business. Vehicles, boats and other titled property usually need the title too, so use the matching bill of sale for those.
What does "as is" mean?
The buyer takes the item in its current condition, and the seller makes no promise that it works or suits any purpose. That is normal for private sales of used goods. If you do promise something - for example, that a laptop will work for 30 days - choose "Sold with the warranty written below" and write the promise down.
Why bother with a bill of sale for a small sale?
It is a simple receipt that proves the item changed hands, on what date and for how much. The buyer can show ownership, for insurance or a resale; the seller can show the item is no longer theirs. For business equipment it also documents the sale for your books.
Does it have to be notarized?
Usually not: in most states the signatures of the seller and the buyer are enough. Some agencies or buyers still want a notarized bill of sale, so check your state's rules before the sale. If you need one, choose "Add a notary block" and sign in front of the notary.
Is it really free?
Yes. No account, no trial and no card: fill in the form and download the PDF. There is no subscription to cancel later. The free PDF carries a small "Made with DittoFox" mark at the bottom of the page.
