Questions everyone asks, answered once

How to make a purchase order

  1. Add your company and the vendor. Who is buying, who is selling, and where the goods should be delivered if that is not your main address.
  2. Fill in the order. PO number, order and delivery dates, payment terms such as Net 30, then one line per item with SKU, quantity and unit price.
  3. Download and send it. Subtotal, tax, shipping and total are added up for you. Save a PDF to email the vendor or print and sign, or a PNG to drop into a chat.

What should a purchase order include?

A complete purchase order names the buyer and the vendor, has a unique PO number and the order date, and says where and by when the goods should arrive. Each line needs a description (and the vendor's SKU if there is one), a quantity and an agreed unit price. Add the payment terms, the shipping method and cost, tax, the total, and a signature from the person who approved the spend - that is what makes it a commitment the vendor can rely on.

Purchase order vs invoice: what's the difference?

They travel in opposite directions. The buyer sends a purchase order before the sale to say "we want these items at these prices". The vendor sends an invoice after delivering to say "you owe us this much". When the invoice arrives, the buyer's accounts team matches it against the PO and the delivery before paying, which is why vendors are asked to quote the PO number on every invoice.

How should I number purchase orders?

Use one simple sequence and never reuse a number: a prefix, the year and a counter (PO-2026-0142) is easy to sort and easy for vendors to quote. Keep a list of issued POs with vendor, total and status so you can match invoices later. If your orders already live in a spreadsheet or your own app, join the list for bulk generation and the API: one row per order, one purchase order per row, coming soon.
