Questions everyone asks, answered once

How to fill out a rent receipt

  1. Name the tenant and the unit. Everyone on the lease who paid, the property address and the unit number.
  2. Enter the payment. The date you received it, the rent period it covers, the rent amount and any late fee or other charge paid with it. The total is added up for you.
  3. Record how it was paid and what is still owed. Cash, check (with its number), money order or an app, plus the balance left after this payment - $0.00 if the tenant is paid up. Sign it, give the tenant the original and keep a copy.

Why give a rent receipt?

A receipt is the tenant's proof of payment and your record of it. It settles "I already paid" arguments, shows which month a payment went to when a tenant is behind, and backs up your books at tax time. Tenants also use rent receipts as proof of address and of rental history when they apply for their next place or for assistance programs. For cash rent a receipt is the only paper trail there is.

Do I have to give a receipt for cash rent?

In some states, yes. California and New York, for example, require the landlord to give a written receipt when rent is paid in cash, and New York also covers money orders and other forms besides a personal check. Many other states have no specific rule, but a receipt is still the safest habit for any cash payment. Check your state's landlord-tenant law, and if a tenant asks for a receipt, give one.

What should a rent receipt include?

At a minimum: the date received, the amount, who paid, who received it, the property and the period the rent covers. Useful extras are a receipt number, the payment method and check number, a breakdown when the payment includes a late fee or another charge, and the balance still due. A partial payment should say so plainly, so nobody later reads it as rent paid in full.
